Digital Record Center™ for Medical Images

Key Metrics About Your Medical Imaging Studies

Digital Record Center™ for Medical Images

Faced with rapidly growing storage needs and PACS utilization, healthcare providers must be able to manage and plan for future storage requirements. Administrators need tools to help them monitor PACS performance, evaluate their storage solution, comply with HIPAA and other regulations, and plan for future technology investments.

To meet these needs,Iron Mountain provides a series of storage management reports that capture key metrics about the medical imaging studies stored in the Iron Mountain Digital Record Center for Medical Images. These reports are provided at no charge and are sent using encrypted email for security purposes.

Regular reporting is one more way that Iron Mountain helps you meet the challenge of health information management.

BETTER INFORMATION MEANS BETTER STORAGE MANAGEMENT.

Our reporting helps you:

Validate chain of custody. Compliance with HIPAA and other regulations is a major concern. Iron Mountain’s medical imaging reports provide summary as well as detailed information on all transactions between your PACS and Iron Mountain. This information can be used to validate the information in your PACS, confirm the retrieval of archived records, and verify the destruction of studies that have met regulatory retention requirements.

Manage your storage costs. As the volume and size of imaging studies grow, so do your storage costs. Your medical imaging reports help you track and manage your medical imaging archive expenses. For example, trend reports show you the number of studies stored and amount of storage used over time, and other key criteria — so you can get a handle on how much storage you are using and why.

Plan future needs. The more you know about your current and past medical imaging storage usage, the better you can plan for the future. Your medical imaging reports help you see trends and predict future needs, such as how a new modality will impact storage requirements, whether you need to invest in more bandwidth,or to help you evaluate the projected growth of your storage requirements based on past trends.

Gain peace of mind. Medical imaging reports validate your storage usage and management decisions, and help you identify any problems that may occur before they happen, not after.

MEDICAL IMAGING REPORTS

As a customer of Iron Mountain’s Digital Record Center for Medical Images, you receive a set of reports each month that provide a snapshot of your medical imaging storage activities as well as storage trends over time. These reports are designed to provide essential information to help you manage your medical imaging storage usage, access, and costs.

The following reports are currently available:

Transactional Detail

This report provides a detailed list of all studies that have been ingested, retrieved, updated, and deleted by Iron Mountain’s Digital Record Center for Medical Images within the defined reporting period. Administrators get a detailed view of image transactions that can be used to verify that Iron Mountain storage and PACS records are in sync, track specific PACS studies to verify activities, and provide a backup record in the event of an audit on the PACS.

Transactional Summary

This report is a summary of transactional activities across all studies and departments in the defined reporting period. A high-level snapshot, this report is ideal for sharing with senior management, providing an overview of monthly study activity without getting bogged down in details. As with the Detail report, the Summary report helps verify PACS activities and provides a backup record for audits.

Archive Volume Growth and Growth Rate

This report provides a graphic representation of storage growth over time (see figure). This is useful for tracking past departmental performance and for getting a handle on how quickly study volume is growing. Monitoring study volume growth and performance over time can also help administrators assess and proactively manage bandwidth needs.

Archive Volume Summary

This report presents a simple summary of storage volume consumed in the Digital Record Center for Medical Images, and is ideal for presenting to senior management to review archive usage. The report is not “over time” but rather a snapshot of total storage use to date. The information provides a monthly checkpoint and can be used to compare with similar reports that may be generated by your PACS.

ARCHIVE VOLUME TRENDS

Trend reports provide a picture of storage use overtime, helping you understand past costs and anticipate future needs.
