Paper Records Storage Services for Federal Agencies
Iron Mountain’s extensive storage experience frees up valuable office and onsite storage space for federal agencies and allows us to deliver unparalleled security, full access to records when needed, and auditable compliance with federal regulations.
Compliance
Federal records are stored in our network of National Archives and Records Administration (NARA)-compliant Federal Records Centers. These centers meet NARA 36 Code of Federal Regulations (CFR) Part 1234 and Federal Emergency Management Agency’s (FEMA) Continuity of Operations Plan (COOP) requirements. Our decades of experience allow us to consistently meet the rigors of federal inspection.
Working with partners including NARA, agency Federal Records Officers, and industry engineering experts, Iron Mountain Federal Records Centers meet and/or exceed NARA compliance standards. Iron Mountain facilities are designed by a dedicated real estate and engineering team; guarded by perimeter, entry, and interior security protocols; and equipped with fire-safe construction, dependable water supplies, and comprehensive environmental controls.
Due to additional, unique compliance requirements of each federal agency, Iron Mountain developed a multi-step process to determine each agency’s state-of-compliance readiness. We partner with government administrators to walk through a comprehensive checklist to ensure full compliance and provide reporting tools to easily and thoroughly demonstrate adherence to compliance requirements.
Security
We deliver a high-level of security and accuracy for federal records. Our thorough and auditable workflow system uses processes developed in-house to keep your documents safe. For example, our triple-check workflow process scans every package three times, while the Iron Mountain InControl® solution protects information in transit with patented security features and tracking.
Our reputation for security extends to our employees, all of whom undergo rigorous background checks, screenings, and formalized training.
Access
Our thoroughly trained staff and proven workflows and storage methods ensure federal records are efficiently organized and accessible in a timely manner. Once content is retrieved, we can provide the information quickly by scanning the documents with our proprietary Image on Demand™ system and send them to you via FTP site, fax, email, or express mail. Our workflow processes allow you to meet the Open Government Directive, quickly fulfill FOIA requests, and reduce time spent searching for documents to support litigation and discovery.
Secure Destruction
Secure destruction of sensitive government material is essential. At the end of life, Iron Mountain offers document destruction and shredding services that are not only secure and reliable, but convenient, cost-effective, and environmentally friendly. We recycle all paper and our Secure Shredding program realizes savings in excess of:
- 8.7 million 50 ft. trees
- 3.6 billion gallons of water
- 2.1 billion KW hours of electricity
