Iron Mountain Launches Compliant Records Management Program
Program Helps Companies Meet Rapidly
Evolving Regulations, Lower Risks and Improve Cost Efficiencies;
Complimentary Risk Assessment Provides Clients with Comprehensive
Review of Existing Records Management Programs
June 13, 2005
Boston, MA - Iron Mountain Incorporated (NYSE:IRM),
the world’s trusted partner for records management and data protection
services, today announced the launch of its new Compliant Records
Management program, a comprehensive set of practices and processes
designed to help companies achieve compliance efficiency for rapidly
evolving records management requirements. As part of the Compliant
Records Management program, Iron Mountain has also announced the
availability of a free risk assessment to measure clients’ existing
records management compliance risks and opportunities.
Rising records storage costs, expanding e-discovery risks and
expenses, and escalating compliance pressures make Compliant Records
Management programs high potential ROI opportunities. Organizations
that continue to rely on traditional, manual processes will see
compliance costs eat up an ever-larger percentage of their operating
budgets and fall behind competitors who implement processes and systems
to achieve compliance at a lower cost and risk.
“Companies need to demonstrate their good faith effort to implement a
legally credible and compliant records management program. The best
demonstration is through a comprehensive approach and not just a policy
or a project,” said Bob Brennan, president of Iron Mountain North
America. “The Iron Mountain Compliant Records Management Program can
help customers navigate the myriad regulatory demands and define the
best approach to manage information addressing regulatory compliance,
litigation support and cost containment.”
The complimentary risk assessment offers companies a continuous
improvement path toward achieving records management compliance for
both physical and digital records. Iron Mountain will collect
information from a diagnostic questionnaire to produce a customized
summary report and action plan that provide practical advice on how to
lower risk and improve records management programs.
“Achieving compliance does not have to be a daunting, cumbersome and
expensive ordeal. Using our unique knowledge of both the paper and
digital worlds of records management, Iron Mountain consultants can
design a self-funding Compliant Records Management Program that will
result in real, tangible benefits for our customers,” said Brennan. “By
optimizing existing programs to retain valid records and dispose of
those which are unnecessary, cost savings in storage alone should more
than pay for this program.”
Iron Mountain’s Compliant Records Management program consists of a
six-stage approach: Organize, Assess, Develop, Implement, Manage and
Audit. These stages are designed to promote consistency, the central
theme and success factor of compliant records management and will
result in a program that incorporates all the necessary policies,
procedures and practices to demonstrate compliance with all relevant
regulations. Combining the traditional operational efficiency approach
with a risk-based compliance approach, the Compliant Records Management
program provides better information access, lower storage costs,
greater litigation responsiveness, and compliance risk reduction.
Incorporating technology into a Compliant Records Management program
will help automate and streamline the processes. Iron Mountain Connect
TM , a web-based records management application, helps transform a
company’s records management program into an enterprise-wide compliance
program, allowing companies to host retention schedules, enforce
classification of new records, apply litigation and audit holds, and
manage the disposition process. In addition, Iron Mountain Connect
includes reporting capabilities to help companies effectively monitor
and manage their records management compliance program.
