Configure & deploy

From storage to configuration and logistics, we ensure your assets are available when you need them and how you need them, while ensuring an on-time arrival.

  • Inventory management:
Our inventory management services, including asset receiving, tagging, tracking, and storage, ensure that your IT investment is well-managed and available for deployment when you need it.

Asset tagging enables precise tracking through serialised labels, RFID tags, or barcodes. Comprehensive inventory management systems record each asset's status, location, and user allocation, while legal holds may be placed on assets as needed for compliance purposes.

Periodic audits are conducted to verify inventory accuracy and ensure policy adherence, mitigating the risk of loss or misappropriation of assets.

  • Configuration:
When it’s time for deployment, our configuration services, which include imaging and kitting of end-user devices, allow for the custom installation of operating systems, applications, and security protocols tailored to your requirements, as well as the bundling of requested peripherals.
  • Deployment:
Our reliable logistics, complete with impact-resistant packing and proof of delivery (POD), ensure on-time delivery of employee hardware ready for immediate use.

We also offer a managed deployment service that includes installation of laptops, desktops, and peripherals at the workstation, ideal for corporate office locations. Units are set up and powered on to ensure proper functioning, and all packaging materials are disposed of upon completion.

Maintain

With maintenance and upgrade services, we can extend the life and maximise the usage of your current end-user hardware inventory.

  • Warranty repairs:
When warrantied devices are in need of repair, our vendor-agnostic In-Warranty Return Management service streamlines the repair process and leverages your warranty terms to reduce repair costs.
When it comes to HP devices, we are a "Silver Certified" HP Authorised Service Provider offering professional technical service and hardware repair for HP warranty and non-warranty service issues, for both business and consumer needs.
  • Break/fix repairs:
For out-of-warranty devices, we offer general break/fix repair services to resolve functional issues and restore the device back to working order without comprehensive refurbishment.
  • Upgrades:
Our upgrade services help extend the life of the asset and include: RAM (memory), storage (hard disk drives/solid state drives), wireless network cards and graphics cards
  • Field support & staff augmentation:
Sometimes our customers need additional experienced and qualified staff to extend their existing capability during projects. Our field support and staff augmentation services commit dedicated onsite engineers for a fixed term under the functional management of the client. Resources are experienced professionals with local presence and at minimum Level 2 in either Service Desk, Desktop and/or Network technologies.

Redeploy & reuse

At Iron Mountain we prioritise reuse whenever possible, benefitting our customers’ bottom line and the environment. We take pride in offering the broadest range of reuse options on the market.

  • Device collection:
From full-service decommissioning and packing of assets to onsite scanning and reliable pickups, Iron Mountain protects and collects your corporate IT devices – even from a remote workforce – and gets them to our facilities for expert processing.
  • Audit, testing & grading:
Upon arrival at our facilities, we assess, evaluate and categorise IT assets to determine their condition and functionality, helping us determine the reuse or resale potential of the asset. We provide serialised settlement and audit reports for every job completed.
  • Data sanitisation:
Every data-bearing asset identified for reuse is thoroughly wiped using an ADISA-certified, NIST 800-88 compliant data sanitisation platform. A certificate of sanitisation is provided for every sanitised asset.
  • Refurbishment:
If the asset is intended to be reused, it goes through a refurbishment process including cleaning, minor repairs, cosmetic upgrades, and, at times, complex rebuilds. Once it has reached its refurbished state, it is re-imaged, tested, certified and appropriately packaged for its next use.
  • Redeployment:
After refurbishment, some clients wish to add these devices back to their active inventory, to be sent out as loaners or for full-time use. Our redeployment services help you extend the life of your existing assets and maximise the ROI on those investments.
  • Remarketing:
Another option for refurbished devices is the resale of the device or components in the secondary market – offering value recovery back to your organisation.
  • Secure destruction & e-waste recycling:
For the physical destruction of data-bearing assets, we offer onsite or offsite shredding or degaussing of storage media. All physically destroyed media is accompanied by a certificate of destruction (COD). Physically shredded media and hardware of no residual value are separated into commodities and sent to R2 or e-Stewards-certified recyclers to be reintroduced into the supply chain, reducing the need for extracting raw materials from the earth.

The IT asset refresh process is essential for businesses to ensure their technology remains up-to-date and secure. By establishing reliable asset refresh processes, businesses can maximise their IT asset investment, guarantee data security, and support sustainability goals. Iron Mountain's IT asset refresh service can support these objectives while also helping you optimise business efficiency. We provide a comprehensive approach to asset refresh with advance exchange to facilitate the deployment of new devices and the retrieval and disposition of end-of-life devices.

Iron Mountain’s laptop deployment service provides a streamlined, secure way to deploy laptops and peripherals to new or existing employees. We can tag and store your inventory and with a simple request, you can easily have devices configured to user profiles, kitted with peripherals and shipped. Our storage and logistics ensure the right equipment is delivered on time. Employees receive items ready to plug and play, while our tagging and tracking services ensure administrators have full visibility of each employee’s equipment.

Our Laptop Retrieval service offers a secure and convenient way to retrieve individual laptops from employee homes or distributed workplaces. We streamline the collection process, ensuring efficient and reliable delivery and standardised rates.

Leasing laptops is an effective strategy for staying up to date with the latest technology without incurring high upfront costs. But when it’s time to return leased devices, organisations face two key challenges: maximising lease value and avoiding late fees. Iron Mountain's lease return service ensures that all leased laptops are transported and stored with a secure chain of custody and that all data is completely wiped before the laptops are returned. This helps ensure that leased equipment is returned in good condition and on time, helping to eliminate late fees and maximising the value of the lease.

When devices require repairs, such as battery or screen replacements, or upgrades, such as memory or storage , our advance exchange service ensures employee productivity is not impacted. We will deploy a temporary device according to your configuration requirements to the employee with packaging included for the return of their current device, ensuring efficiency and a good employee experience. Once the devices has been repaired or upgraded, we will send the device back to the employee with packaging included for the return of the temporary device.

Transferring IT equipment during an office move involves risk. To streamline the process and protect your hardware investment, our Managed Deployment service is the perfect solution for office relocation projects. Beginning with the careful packing and moving of assets from one location to another, we diligently record asset tag numbers for reporting. Once at the new location, devices are set up and powered on to confirm functionality. We can even deliver proof of job completion by workstation.

We offer legal hold services for physical IT assets that may be relevant to ongoing or anticipated litigation, audits or investigations. Delivering full transparency, including audit trails and chain of custody, we securely isolate and store these assets, preventing sanitisation, reassignment or disposition of the device until legal hold is lifted.

According to Gartner®

The three most important tasks to execute correctly, and to which ITAD executives should pay special attention, are transportation logistics/chain of custody, data sanitisation, and recycling. These three tasks represent the greatest risk in the ITAD process, and they should be handled by an experienced, well-vetted ITAD service provider.

Iron Mountain is recognised as a Representative Provider in the Gartner Market Guide for IT Asset Disposition for the fifth time consecutively.
